ActiveCampaign and GoHighLevel answer different questions, and the choice is usually settled in one meeting. If one company owns every contact and the value sits in behavioural segmentation and deal automation, it is ActiveCampaign. If you are an agency running twenty to sixty client sub-accounts and the value sits in repeatable delivery, it is GoHighLevel. A build takes 5 to 8 weeks either way. The migration, when there is one, is what stretches it. The agency case: Snapshots are the whole game and also where agencies quietly lose money. A snapshot that has drifted from the accounts built off it means every client fix has to be made twenty times. I build one parent snapshot with custom values doing the work that hard-coded text usually does: booking links, sender identity, pipeline names, business hours. A client-specific change then becomes a value edit rather than a workflow edit. Naming is enforced, workflows are numbered by lifecycle position, and I keep a written change log because GoHighLevel does not version workflows for you. Phone and SMS are where launches slip. A2P 10DLC brand and campaign registration for US numbers is a two to three week item with real rejection risk on vague use case descriptions, so I write the registration copy myself and file it in week one instead of week six. For Indian numbers the equivalent is DLT header and template registration, where templates carrying free-form variables get rejected. The flow is designed around approved templates rather than retrofitted to them afterwards. The single-company case: In ActiveCampaign the discipline that decides whether an account stays maintainable is the line between tags and fields. Tags carry state that expires and should be removed by the automation that no longer needs them. Fields carry facts. Accounts I inherit typically hold several hundred tags, a good share used once, and automations triggering on tags nobody ever removes. I rebuild the trigger surface around deal stage, custom field values and site or event tracking, and keep tags for what is genuinely temporary. Deal automations and contact automations are separate machines. Mixing them is the most common reason contacts stall without anyone noticing. I keep them apart and put a goal on every automation so you can see where people stop. What I refuse: I will not run both platforms in parallel past the cutover week. Dual-running is how records get created twice and how nobody ends up trusting either system. I will not import a purchased snapshot into a client account without stripping it first; most carry broken triggers and somebody else's custom values. I do not send from a fresh domain into a five-year-old list without a warming plan and a re-permission sequence, and if you decline the warming plan I decline the project. Also outside scope: copywriting for sequences beyond structure and subject-line tests, creative design, paid media, and phone system support after handover unless it sits on a retainer. Not for you if: You want a snapshot bought and installed this week. You want thirty automations because a competitor has thirty. Or your reason for leaving HubSpot is price alone, in which case migration cost usually exceeds two years of the difference and I will say so on the first call rather than after the invoice. Handover: A written map of every automation with its trigger, its exit and its owner. A test contact set that walks each path. Two working sessions with the person who will run it, recorded. After that you should not need me, which is the point.
