About this service

A deal record for every order is the fault we find in most HubSpot portals built for food, drink and pet brands, and it is why the revenue reports never reconcile with the ERP. One distributor came to us with 41,000 deals sitting against 190 trading accounts, three years of pipeline history nobody trusted, and a sales team quoting from a spreadsheet on the side. We rebuilt the model around an Order object associated to Company, kept Deal for what a deal actually is in that business, an annual listing negotiation or a new depot, and the portal has reconciled with Comarch ERP XL every month since. What gets settled before a workflow is touched: Which objects exist and what one record of each means in your business. Association labels that carry the distinction your invoicing already makes: bill-to against ship-to, buying group against the outlets inside it, veterinary practice against the chain that owns it. Lifecycle stages defined by an event somebody can point at, usually first paid order, not a form fill. Pipeline stages with exit criteria a sales manager can verify without asking the rep. This phase runs with your ERP owner and your sales lead in the same room, and it is the part of the work most agencies skip. Where the data actually lives: Your ERP is the source of truth for what was ordered and paid. HubSpot is the source of truth for who was spoken to and when. We write the direction of travel for every field into a dictionary you keep, and nothing writes back into Comarch Optima, Comarch ERP XL, enova365, Subiekt GT or BaseLinker until the person who owns that system has signed the field list. For pet and food brands selling through Allegro, Shopify or WooCommerce, order events arrive through BaseLinker or the store API rather than through a spreadsheet import somebody runs on Mondays. How the build works: A private app against the CRM v3 API for the sync, and Operations Hub custom coded actions in Node for the things the workflow canvas cannot express: merge rules keyed on NIP, address normalisation before deduplication, rolling ninety day order value as a calculated property. Suppression and re-enrolment rules are written before the first workflow is switched on. Every workflow has a named owner and an off switch, and the register listing both is part of the handover. Consent, in the form Polish law expects: Separate legal basis per channel, captured with a timestamp, the source and the version of the wording the person agreed to, stored on the contact record. List membership is not consent. If your current database cannot show where a given consent came from, we will tell you which segments we are not willing to migrate, and why, before you buy anything. Not included: Email copy, campaign design, template design, paid media, and being your HubSpot admin after handover. We build the portal, teach your owner to run it, and leave. If you want a partner who keeps the keys, that is a legitimate preference and not what we sell. Who should not buy this: Companies with fewer than roughly 150 trading accounts, where a rebuilt spreadsheet and a shared inbox is the honest answer. Teams without one internal person holding super admin and four hours a week for the duration. Portals mid-migration to another CRM. Buyers who want their existing workflows rebuilt faster rather than reconsidered, because we will spend the first fortnight arguing with the model that produced them. How the engagement runs: Two weeks on the model, then build, then a fortnight of supervised running where we watch enrolments daily and fix what the real data exposes. Handover is the field dictionary, the workflow register and a recorded walkthrough in Polish or English. Super admin stays with you the whole time; we work under a seat you can revoke.
