About this service
Across the booking funnels we rebuilt between 2023 and this year, 22 to 38 percent of confirmed slots never became a held meeting, and about two thirds of that loss happened in the 48 hours after the booking rather than at the form. So we build and price this work against held meetings. A funnel that lifts calendar submits while show rate falls is a worse funnel, and we will report it that way even when the submit chart looks good.
What we think this work actually is:
The scheduler is the last five percent. What decides whether the meeting happens sits before it — what the page promised, how many questions stood in the way, whether the prospect knows who they will be speaking to — and after it, in the reminder sequence and the reschedule path. Shops that treat this as an embed hand you a faster form and a flat show rate.
What we build:
Pre-calendar qualification of two to four questions, and we push for two; every question is paid for in drop-off, so it survives only if it changes routing or disqualifies. Routing logic — round robin, account-owner match, territory, seniority tiering — configured in Chili Piper, Cal.com routing forms, HubSpot Meetings or Calendly, whichever you already own. Availability set in the rep's own zone and rendered in the prospect's, then tested against the cases that actually break it: the +5:30 and +6:30 offsets, a Sydney rep in daylight saving against a Jakarta prospect who never has it, and the in-app browsers where WeChat, LINE, TikTok and Instagram strip the popup a scheduler expects.
Reminders and the handoff:
Confirmation, T-24h and T-1h, on the channel that market answers. Every message carries a reschedule link and never a cancel link. Where a human hands off — SDR to AE, admissions counsellor to programme lead — we build the handoff page, because the reassignment email is where the meeting usually dies.
Measurement:
Held is written back as an event from the calendar webhook into your CRM and into GA4 server-side, so the number in the campaign report is a meeting a rep sat through, not a row in a scheduler. No-show reason is captured only where the rep can pick one in two clicks; anything slower goes unfilled and we will not pretend otherwise in a dashboard.
What is not included:
We do not write outbound sequences, run the SDR desk, manage the ad accounts feeding the funnel, or build a custom scheduler. If none of the four platforms above fits your routing, you have a product requirement rather than a funnel requirement, and we will say so before you pay for a build.
Who this is not for:
Teams booking under about thirty meetings a month. At that volume a two-point change cannot be told apart from a quiet fortnight, and the fix is more likely in the offer or the source list than in the funnel. Also not for teams whose reps reschedule on the morning of the call. No reminder sequence survives that. If we find it in week one we say so and stop, rather than ship the work and let the report carry the blame for a calendar habit.
